Your new role
As a Maintenance and asset coordinator you will ensure the effective administration, integrity, and continuous improvement of the Computerised Maintenance Management System (CMMS), supporting maintenance compliance, asset management, and engineering performance across the pharmaceutical site.
The role is responsible for maintaining accurate asset and maintenance records, supporting regulatory compliance through robust system management and reporting, and providing data-driven insights to optimise asset reliability and lifecycle performance.
Acting as a key link between Engineering, Operations, Quality, and Compliance, the role ensures maintenance and asset information is managed effectively to support business objectives and regulatory requirements.
- Administer and maintain the CMMS, ensuring asset records, maintenance schedules, equipment hierarchies, and work order information remain accurate, compliant, and up to date.
- Ensure all maintenance activities are recorded, monitored, and closed within the CMMS in accordance with GMP, Home Office, and company requirements.
- Develop, maintain, and optimise preventative maintenance programmes within the CMMS to support asset performance and compliance.
- Oversee the maintenance service desk function, ensuring requests are accurately logged, prioritised, and progressed in a timely manner.
- Monitor maintenance compliance, work order completion, and backlog performance, escalating risks and overdue activities where necessary.
- Maintain asset registers and support asset lifecycle activities including asset creation, modification, replacement, and disposal.
- Produce, analyse, and distribute maintenance, compliance, and asset performance reports, providing insights and recommendations to support continuous improvement.
- Support internal and external audits by ensuring maintenance records, asset data, and supporting documentation are accurate and readily available.
- Act as the CMMS subject matter expert, providing user support, training, troubleshooting, and assistance with system upgrades and enhancements.
- Collaborate with Engineering, Operations, Quality, and Compliance teams to improve data quality, system effectiveness, and maintenance performance.
What are we looking for?
Essential:
- Proven experience working with a Computerised Maintenance Management System (CMMS) such as Maximo, SAP PM, EAM, Concept, or similar.
- Experience administering maintenance and asset management systems.
- Experience working with cross-functional teams including Engineering, Operations, Quality, and Compliance.
- Knowledge of preventative and corrective maintenance processes, asset lifecycle management, and maintenance compliance requirements.
- Ability to generate, analyse, and present maintenance and asset performance data.
- Experience supporting audits through accurate documentation, record management, and system administration.
- Proficiency in Microsoft Office applications, particularly Excel.
- Proven experience working with CMMS platforms (e.g., Maximo, SAP, EAM, Concept) in a regulated environment.
- Proficiency in Microsoft Office tools, particularly Excel, for reporting and data analysis.
Desirable:
- Experience within a pharmaceutical, life sciences, or other GMP-regulated environment.
- Knowledge of GMP, Home Office, and regulatory compliance requirements.
- Understanding of asset management and reliability principles.
- Experience supporting CMMS implementations, upgrades, or data migrations.
- Familiarity with quality systems including change control, deviations, and CAPA processes.
- Experience supporting continuous improvement initiatives.
